ADMINISTRATIVE MANAGER – OPERATIONS (AB)

SUMMARY OF POSITION

  1. This role is a highly organized, detail-orientated professional responsible for providing comprehensive administrative, operational, project, and office support. This position serves as a key resource for keeping day-to-day operations running smoothly, while supporting employees, projects, and leadership.
  2. This role supports the Alberta office predominately and performs a variety of administrative functions.
  3. This role is in the Wright Construction Satellite Office – Calgary.

DUTIES

  1. Overall coordination of the day-to-day activities of the Calgary office, including office Receptionist tasks.
  2. Ensure the office is organized, professional, well-stocked and functioning effectively. This includes coordinating office supplies, equipment, furniture, mail, deliveries, and general office services.
  3. Liaise with building management, service providers, and office vendors.
  4. Manage calendars, meetings, correspondence, and administrative communication as required.
  5. Prepare meeting agendas, minutes, action items, and follow-up documentation as required.
  6. Plan and coordinate office events, employee activities, meetings, celebrations and company functions.
  7. Assist with the preparation, formatting, editing, and submission of proposals, bids, qualification packages, and other business development materials.
  8. Provide project coordinator tasks, as necessary. This could include; project documentation, RFI’s, O+M manuals, etc.
  9. Identify opportunities to improve office efficiency and employee experience. This could include identifying opportunities to streamline workflows and improve operational efficiency.
  10. Assist with employee onboarding and offboarding processes, including parking assignment, boardroom preparation, and work space. This could also include introductions for all new hires.
  11. Track employee certifications, training, and other required documentation, as communicated from HR. This could include assisting with the coordination and administration of employee training programs. Tracking required training, certifications, and renewals, collect and organize training feedback, etc.
  12. All other duties as assigned

REQUIREMENTS

  1. Post-secondary education in Business Administration, Office Administration, Human Resources, Operations, or a related field is considered an asset.
  2. 3–5 years of administrative, office, operations, project coordination, or related experience preferred.
  3. Microsoft office experience and InDesign required
  4. Prior construction experience considered an asset
  5. Handle confidential and sensitive information with discretion.
  6. Very strong interpersonal skills and the ability to build and maintain effective relationships with diverse internal and external stakeholders.
  7. Excellent written and verbal communication skills. Strong proofreading and document formatting skills.
  8. Ability to meet deadlines, self-motivated, and a continuous improvement mindset.
  9. Reliable and dependable is a must.
  10. Possession of a valid driver’s license.
